Debt Recovery: Email versus Snail Mail

Yes, we’ve tooted this horn before- see our previous blog about our email overdue account recovery system.
But it remains an important topic- particularly as the cold weather raises the risk to traditional mail!
Here at The Credit Protection Association, we appreciate the fast-paced lifestyles many of our Members lead.
So we have adapted our communication methods accordingly.
While we still send letters by post to all our clients, we have recently found that our electronic communication with debtors has been especially successful.
Twice in the last couple of days, our customer service manager has been approached by Members who have shared how successful these emails have been in getting them paid!
Here are a couple of examples from our very satisfied customers:
Recently we sent our first ‘CPA1’ letter to our Member’s debtor- this is a very polite, informative and non-threatening letter so not to cause alarm in the recipient. In this case, it was sent to an overdue account holder asking them to pay an invoice they were trying to dispute. The debtor had objected to the debt, but nonetheless called the Member immediately upon receipt. They promptly paid the full amount to the Member’s account, even before we’d had the chance to send the hard copy!
Another occasion was when we were asked to send one of our overdue account recovery emails to a debtor on behalf of our Member. He appeared slightly sceptical in experiencing results so soon, but by 1pm that very day the phone started ringing! Pretty soon, the amount was repaid and another problem was resolved!
What does this mean for me?…
Remember to take email addresses for your clients and use them wherever possible.
And get a personal email address, ideally from the managing director of the company. Try to avoid vague email addresses or contact details from their accounts staff!
This is where a credit application form is essential! Get your customers’ details as soon as possible; it will be much harder once late payment starts to affect your relationship!
